IT Support for Medical & Dental Practices
A practice has a harder IT problem than most small businesses, and it isn't really about computers. It's that the schedule is the business: an hour of downtime isn't an inconvenience, it's a waiting room of people who took time off work and a day you can't bill back.
It's also an environment where the software largely isn't yours. Practice management and imaging systems arrive with vendor requirements, vendor remote access, and sometimes vendor-controlled machines — and the vendor's support scope stops well short of everything else in the building.
The imaging machine nobody is allowed to touch
Nearly every practice we walk into has one: the workstation wired to the sensor, the scanner, or the pan unit, running an operating system a few versions behind because the imaging vendor certified it that way and the capture card driver doesn't exist for anything newer.
That machine is usually the oldest and most fragile computer in the building, and the one you can least afford to lose. The right answer is rarely "upgrade it and hope" — it's knowing exactly what's on it, having a tested image so it can be rebuilt rather than rediscovered, and isolating it on the network so its age isn't a hole in everything else.
Backups that actually include the images
This is the gap we find most often. The practice management database is backed up, because the vendor set that up at install. The imaging archive — far larger, often on a different drive or a different machine, and legally part of the record — is not.
Nobody notices until the day it matters. The test worth running isn't "is the backup running" but "can we restore a specific patient's images from a specific date onto a different machine" — and then actually doing it rather than assuming. Our backup guide covers why the distinction matters.
HIPAA, honestly
We won't tell you a product makes you HIPAA compliant, because none does. Compliance is a process — risk analysis, policies, training, agreements, documentation — and a good deal of it isn't an IT question at all.
What we handle is the technical half: access controls so staff have their own logins rather than a shared front-desk account, encryption on anything portable, audit logging that exists and is retained, systems that actually get patched, and the business associate agreement on our side. We'll tell you plainly which gaps we can close and which need your own policy work.

Questions we get
Will you work alongside our practice management vendor?
Yes, and it's usually necessary. We handle the network, hardware, backups, and security; the vendor owns their application. The friction we most often resolve is the gap between the two — a problem where the vendor says it's the network and the network person says it's the software. We'll do the diagnosis rather than argue about it.
Can you sign a business associate agreement?
Yes. Any IT provider with access to systems holding patient information should be signing one, and you should be uncomfortable with any who won't.
Our imaging computer runs an old version of Windows. Is that a problem?
It's a real risk, but ripping it out isn't automatically the answer if the imaging vendor certified it that way. The practical approach is to isolate it on the network so it can't become a route into everything else, make sure it's imaged so it can be rebuilt quickly, and plan the replacement around the vendor's roadmap rather than in a panic after it fails.
